Professional Services Marketing Consultant & Growth Advisor
Your clients cannot test-drive a legal strategy, audit opinion, engineering judgment, security plan or M&A process before they hire the people responsible for it. They buy confidence in expertise they may not be qualified to evaluate yet.
I help professional-services firms make that expertise easier to find, understand, trust and choose. I advise CEOs, founders, partners and practice leaders, then I can research, write, analyze, build and execute the work with them. No giant agency relay race. No need to arrive knowing which tactic or software you need.
Dr. Robert Urban, senior consultant and fractional CMO. Based in Florida, working nationally and internationally through retained, fractional, advisory and project engagements.
The first professional-services sale is confidence.
Most firms describe what they do. Fewer explain how they think, where their judgment is unusually valuable, what a good engagement looks like or why a buyer should trust them with a consequential decision.
A general counsel choosing outside counsel, a developer assembling an architecture and engineering team, a founder considering a sell-side advisor and an HR executive replacing an HCM platform are not buying the same thing. Yet they share a central problem. The full quality of the service will become visible only after the engagement begins, when switching can be expensive, embarrassing or both.
That is why I do not treat professional-services growth as an advertising problem with nicer fonts. The work connects business strategy, market choice, specialization, executive authority, reputation, search and AI discovery, referrals, proposals, intake, delivery, client experience and economics. The website matters, but the company behind the website has to make sense.
You also do not need to know whether you need SEO, a new position, a fractional CMO, a better CRM, an AI workflow, a thought-leadership program or an honest conversation about the wrong clients. I can start with the problem or the goal, work out what is actually causing it and choose the smallest useful intervention before anyone orders a dashboard the team will politely ignore.
A professional firm does not need to sound important. It needs to make important judgment understandable without making it ordinary.
Explore the firm, the growth system or your exact sector.
Start with the decision, challenge or professional market that brought you here. The guide below takes you directly to the expertise and practical help most relevant to your firm.
Professional firms sell judgment under imperfect information.
The deliverable may be a return, design, legal brief, placement, valuation, policy, transaction, implementation or report. The deeper purchase is a decision made safer by specialized knowledge.
Expertise
Knowledge has to be specific enough to change a decision. A page full of adjectives cannot substitute for a point of view, operating fluency or evidence that the firm recognizes the buyer's real situation.
Judgment
The valuable work often lives between rules. Buyers need confidence that the professional can interpret context, identify tradeoffs and say what should happen next without pretending uncertainty has disappeared.
Trust
Confidentiality, accuracy, ethics, responsiveness and discretion affect demand before a proposal is requested. Trust is not a warm brand feeling. It is part of the buyer's risk calculation.
Coordination
Important engagements cross executives, owners, counsel, finance, operations, technology and outside specialists. The ability to make complex work understandable is often as valuable as the technical answer.
The U.S. Bureau of Labor Statistics describes professional, scientific and technical services as a broad expertise economy that includes accounting, legal, information technology, consulting, architecture, engineering, design and related disciplines. That variety is exactly why one generic “B2B services” message fails. Each market has different credentials, buying committees, regulations, proof standards, economics and consequences for getting the decision wrong.
The common thread is not the job title. It is information asymmetry. The firm knows much more about the work than the buyer, yet the buyer decides whether the firm deserves access, money and trust. Good marketing reduces that asymmetry honestly. It teaches enough to help the right person recognize the right fit while preserving the value of the professional's judgment.
A market is not a demographic. It is a person making a consequential decision at a particular moment.
Professional-services demand often begins with a trigger. Growth strategy should map the trigger, the people pulled into the decision, the questions they ask in sequence and the proof each person needs before saying yes.
Owners and founders
They may be preparing to grow, borrow, acquire, sell, franchise, professionalize leadership or stop being the human middleware connecting every function. They care about speed and opportunity, but also control, identity and whether the company can function without daily heroics.
CEOs and operating executives
They are balancing strategy, capital, talent, delivery, risk and the board's patience. They need a partner who can translate growth ambition into priorities, systems and accountable work instead of adding another layer of meetings about meetings.
CFOs and finance leaders
They evaluate economic logic, risk, cash, rates, realization, return, controls and the hidden operating burden of implementation. The growth story has to survive contact with actual numbers, not merely an enthusiastic pipeline slide.
General counsel and risk leaders
They look for judgment, privilege awareness, defensible process, security, conflicts, regulatory context and the discipline not to turn a careful claim into marketing theater. They may influence a choice even when legal is not the primary buyer.
Procurement and buying committees
They compare scope, price, security, insurance, diversity, delivery, references and contract terms. A compelling relationship may open the door, but the buying system still has to make the engagement approvable.
Individuals and families
In law, wealth, insurance, mortgage and residential-property services, a life event often creates urgency. Retirement, divorce, injury, relocation, inheritance, home purchase, business sale or loss changes the questions, the language and the emotional load of the decision.
| Decision moment | What the buyer is really trying to protect | Growth implication | Useful proof |
|---|---|---|---|
| A deadline or crisis | Time, options, reputation and the ability to act before facts or leverage change. | Clear intake, responsive routing, realistic scope and immediate next steps matter more than brand poetry. | Process clarity, relevant experience, availability boundaries and evidence of calm judgment. |
| A planned growth move | Capital, strategic focus, execution capacity and the credibility of the leadership team. | Content should connect market opportunity to the operational work required to capture it. | Roadmaps, frameworks, sector fluency, team roles, milestones and measurable outcomes. |
| A replacement decision | Continuity, internal political capital and confidence that the transition will not create a second problem. | Explain onboarding, migration, communication and risk control, not only why the incumbent is disappointing. | Transition plans, references, governance, service standards and issue escalation. |
| A life event | Family, identity, privacy, financial security and a future that may suddenly feel less predictable. | Language should be precise without becoming cold, respectful without becoming vague and useful without promising outcomes. | Credentials, education, transparent process, accessibility and recognizable experience with the situation. |
| A transaction or succession | Value, leverage, confidentiality, legacy and the chance to avoid a preventable surprise. | Multiple audiences need connected but distinct communication, often over a long and uneven timeline. | Readiness thinking, diligence fluency, decision rights, confidentiality and advisor coordination. |
I solve growth problems that usually cross marketing, leadership, sales and delivery.
The presenting complaint may be weak lead volume. The useful diagnosis may be a fuzzy market position, founder-dependent relationships, thin proof, poor qualification, inconsistent follow-up, the wrong economics or a service experience that quietly erases the value of acquisition.
Everyone sounds qualified
When every competitor promises experience, service and results, the buyer cannot see a meaningful choice. I help identify the clients, problems, sectors and decisions where the firm's experience changes the answer, then build a position around that useful difference.
The best expertise is invisible
Senior people may be excellent in a room and nearly absent everywhere a prospect validates them. I turn their thinking into articles, talks, books, frameworks, case evidence, executive profiles and answer-ready content without sanding away the human voice.
Referrals are strong but fragile
Referrals can be a moat until three rainmakers retire, a channel partner changes jobs or a market contracts. I help preserve the relationship engine while adding discoverability, database discipline, account development and authority that travels beyond one person's contacts.
Demand is not qualified
A large inquiry pile can consume senior time while hiding the absence of good opportunities. I help define fit, explain scope, route prospects, improve forms and calls, build nurturing paths and measure signed work, margin and capacity rather than celebrating every email address equally.
The sales process leaks trust
Slow responses, generic proposals, inconsistent follow-up, unclear fees and handoffs between business development and delivery create avoidable doubt. I map the real buyer journey and make each step easier to understand, approve and continue.
Growth outruns delivery
Professional firms can sell themselves into a capacity crisis. I connect market priorities to staffing, utilization, partner attention, project mix, realization, service standards and client concentration so demand supports the company instead of punishing it.
AI creates noise and risk
Teams are adopting tools unevenly while clients, regulators and professionals worry about confidentiality, accuracy, attribution and accountability. I help choose useful workflows, human review, permissions, knowledge sources and measurement instead of declaring every chatbot a strategy.
The firm is trapped in tactics
SEO, paid search, events, social media, email and technology can all work. None can decide which clients the firm should serve or what it should be known for. I start with the business decision, then select the channels and tools that deserve to exist.
The CEO is building a job
A founder may have revenue, reputation and a calendar held together by caffeine, but not yet a durable company. I help clarify leadership, intellectual property, recurring value, systems, talent, data and market authority that can increase resilience and enterprise value.
I can advise the CEO and still do the work.
Some engagements need an outside point of view. Others need senior marketing leadership, a practical operator and someone willing to open the analytics, interview the partners, write the positioning and fix the page. I am comfortable in all four places.
Business and market strategy
I help leadership choose priority sectors, audiences, offers, geographies, partnerships and growth bets. That includes analyzing demand, competitive position, client concentration, capability, capacity and the economic logic behind the plan.
Positioning and service architecture
I clarify why the firm matters, which clients value its expertise and how its practices solve connected problems. I turn that position into clear service descriptions, useful evidence and a buying journey that makes the next conversation easier.
Executive authority
I help CEOs, partners and subject-matter experts develop useful points of view, bylined content, talks, research, books, profiles and commentary. The point is not personal-brand karaoke. It is making real judgment visible before the important conversation.
Organic, local and AI discovery
I build connected information architecture, technically sound pages, answer-ready explanations, structured data, entity clarity, local-market relevance and contextual links. Search engines, AI systems, voice assistants and people all need enough context to choose the page confidently.
Demand and relationship growth
I connect referrals, associations, strategic partners, events, speaking, email, targeted outreach, paid media and account development. A credible professional-services pipeline usually comes from several reinforcing trust paths, not one miraculous channel.
Conversion and sales enablement
I improve calls to action, intake, qualification, response, proposals, RFPs, follow-up, nurturing and CRM use. The work respects the difference between a five-minute consumer decision and a six-month committee decision with legal, finance and procurement involved.
Analytics and economic decisions
I connect traffic and inquiries to qualified opportunities, signed work, sales cycle, source, margin, capacity, concentration, retention and expansion. If a report cannot help someone make a decision, it may be decoration wearing a necktie.
AI, data and workflow
I help identify responsible use cases across research, drafting, knowledge access, content operations, intake, CRM, proposal support and reporting. Human judgment, permissions, confidential information, source quality and review remain part of the system.
Leadership and company building
I work with leaders on focus, operating cadence, cross-functional accountability, brand promise, client experience, intellectual property and the systems that let a company grow beyond one rainmaker. Marketing gets better when the company gets clearer.
For direct help with AI visibility and organic discovery, see AI Search and Organic Growth. For embedded executive leadership, explore fractional CMO services. If content and authority are the immediate constraint, see my content marketing consulting.
I combine the strategist, operator, researcher and writer in one senior relationship.
Professional-services leaders do not need another person who can repeat the marketing vocabulary. They need someone who can understand the discipline, challenge assumptions, earn the confidence of subject-matter experts and turn the resulting decisions into work the market can see.
I have built and run the business
I founded Paper Boat Media in 2011 and understand agency economics, client concentration, scope, hiring, positioning, recurring work and the awkward distance between advising a client and running your own company. I can talk with the CEO about enterprise value in the morning and work through the page, campaign or analytics in the afternoon.
I am trained to investigate the problem
My Ph.D.-level scientific background shapes how I work with evidence, systems, uncertainty and complex subjects. I am comfortable learning technical disciplines deeply enough to ask better questions, test the apparent answer and find the operating reality behind the marketing request.
I know how ideas earn attention
As a seven-time national bestselling author, writer and speaker, I understand structure, voice, narrative, audience and the discipline required to make a difficult idea worth finishing. That matters when a firm's best thinking is trapped in expert shorthand or reduced to content that sounds like everyone else commissioned it from the same committee.
I take responsibility for execution
My U.S. Marine background reinforced leadership, service, candor and responsibility. In practice, that means I will tell leadership what I think, explain the evidence, listen when the facts change and stay close enough to execution to learn whether the strategy survives contact with the actual company.
The combination lets me work across a law firm, investment organization, engineering practice, technology company, agency, construction firm or other expert-led business without pretending the disciplines are interchangeable. Review my credentials and experience or meet Rob before deciding whether I am the right person for the conversation.
You can hire senior judgment without hiring a giant firm.
I work remotely, on site and across markets as the problem requires. The engagement can be a focused project, an ongoing advisory relationship or embedded fractional leadership.
I am not opposed to agencies. I have built them, hired them, partnered with them and helped them grow. I am opposed to paying for layers that do not improve the answer. Clients hire me when they want direct access to the senior person thinking about the business and when they want that person capable of doing more than narrating the work from a tasteful slide deck.
If the problem eventually requires designers, developers, media specialists, researchers, attorneys, engineers, data teams or other experts, I can help define the need and work with the right people. The engagement should expand because the work requires it, not because an organizational chart arrived hungry.
Common engagement shapes
- Senior advisor: decision support for a CEO, founder, partner or leadership team.
- Fractional CMO: embedded leadership across strategy, team, agency, budget, systems and execution.
- Retained consultant: continuing work on growth, authority, AI, analytics, conversion or company building.
- Project lead: a defined initiative such as positioning, architecture, market entry, website, research or demand system.
- Working session: a concentrated diagnosis, decision or roadmap when the team needs clarity before a larger commitment.
- Remote or on site: based in Florida, available nationally and internationally where the engagement makes sense.
Different expertise requires different growth strategy.
A partner choosing an acquisition advisor, a developer assembling an engineering team and an employer replacing its payroll system evaluate expertise differently. I shape the growth strategy around the firm's buyers, economics, professional obligations, evidence and delivery model.
The shared challenge is turning difficult-to-evaluate expertise into confidence. Explore your profession below to see how I connect that challenge to the decisions, relationships and commercial realities your firm faces.
Financial & Accounting Services
Trust begins with accuracy, but growth depends on turning technical capability into recognizable value for owners, households, institutions and executive teams.
CPAs, Accounting & Tax Professionals
Accounting firms balance deadlines, utilization, realization, recruiting, partner succession, client concentration and the temptation to accept every piece of work that arrives before April. Bookkeeping, tax compliance, assurance, outsourced accounting, CAS, CFO advisory and transaction support have different buyers and margin profiles. The position has to show whether the firm is a reliable processor, a specialized technical authority, a strategic finance partner or some deliberate combination.
I help clarify services and industries, build partner authority, explain credentials and judgment, improve referral and search visibility, qualify the right clients and connect demand to capacity. That can include niche pages, tax and accounting content, executive thought leadership, local discovery, AI visibility, proposal support, CRM and a growth plan that does not require every partner to become a full-time content creator.

Advisors serve people across accumulation, retirement, inheritance, business sale, liquidity, divorce, widowhood, philanthropy, concentrated positions and family transition. Credentials such as CFP, CFA, ChFC, CPWA, CIMA, RICP, CDFA and AEP can matter, but an alphabet does not explain the planning philosophy, fiduciary context, client experience or situations in which the expertise becomes valuable.
I help RIAs, wealth managers, financial planners, broker-dealers, family wealth practices and specialty advisors identify the households and life moments they serve best, explain connected planning decisions and build trust without guarantees or manufactured urgency. Private-wealth relationships can require additional discretion, family coordination and specialist access. The growth strategy should fit the actual client base rather than assume every prospect arrives by helicopter.

Commercial banks and lenders compete across relationships, credit judgment, treasury services, deposit growth, sponsor access, sector expertise, speed and certainty. The borrower may be funding working capital, equipment, real estate, an acquisition, construction, expansion or ownership transition. Each decision involves different financial information, collateral, covenants, committees and professional advisors.
I help banks, credit unions, commercial finance companies, specialty lenders and capital providers make expertise visible before the request for capital. The work can strengthen market and industry positioning, banker thought leadership, referral ecosystems, commercial-product education, executive communications, search discovery, relationship development and digital conversion while respecting fair-lending, privacy and approval requirements. Residential mortgage growth calls for a different approach to borrower education, partner relationships and financing milestones. A homebuyer journey is not a commercial credit committee with throw pillows.

These firms are hired when the facts matter, the consequences are real and overstatement can create a problem larger than the campaign intended to solve.
Law Firms, Attorneys & Legal Services
Legal growth changes with practice, client, fee model, jurisdiction, conflicts, urgency and case economics. Hourly business counsel, contingency litigation, flat-fee consumer matters, institutional defense and outside-general-counsel retainers should not share one intake model or one idea of a qualified lead. Ethical rules, privilege, advertising restrictions and the dignity of the client's situation shape what can be claimed and how proof should be presented.
I help firms position practices, develop attorney authority, create useful legal education, improve search and AI discovery, manage reputation, build referral networks and connect intake to the work the firm actually wants. That approach changes across personal injury, criminal defense, bankruptcy, divorce, corporate and immigration law. The client's circumstances, decision stakes and next step deserve careful attention in each practice.

Security buyers are not purchasing fear. They are trying to protect people, operations, information, property, reputation and continuity through judgment that works under pressure. Investigations, threat assessment, crisis support, executive protection, physical security, workplace violence prevention, due diligence and intelligence each have different evidence, confidentiality and buyer-access constraints.
I help security and investigative firms explain capability without exposing protected methods, build executive credibility, reach counsel, risk leaders, family offices and operating companies, and create a qualified path from concern to confidential conversation. Corporate investigations, electronic-security integration, guarding, executive protection and fire or life-safety work each require specific evidence of capability. Cybersecurity adds different technical responsibilities: a SOC is not a guard post, even if both teams appreciate fewer surprises.

Technology firms have to explain business continuity, adoption, integration and risk to buyers who may experience the service only when something stops working.
IT Support, Managed Service Providers & Cloud Consulting
MSPs sell a promise that daily technology will be available, secure and understandable enough for the business to operate. Recurring agreements, project work, cloud migration, Microsoft ecosystems, help desk, vCIO leadership, backup and recovery, co-managed IT and vertical specialization produce different sales and service economics. A pile of vendor badges can support trust, but it cannot replace a clear ideal-client profile and a credible operating model.
I help MSPs and IT consultancies position around the business problems they solve, make technical expertise legible to executives, improve local and vertical discovery, generate qualified recurring opportunities and connect promises to onboarding and service delivery. I also help leadership with packaging, account growth, review strategy, referral channels, AI workflows, CRM and the company-building decisions that make recurring revenue more valuable.

Cybersecurity buyers face an industry fluent in urgency, acronyms and technically correct statements that do not always help an executive decide. Advisory, assessment, managed detection, incident response, governance, risk, compliance, penetration testing, identity, cloud security and virtual CISO work require distinct proof, scoping and trust. Regulations and frameworks matter, but the business still needs to know who owns the next action.
I help cyber firms turn capability into a coherent position, develop executive and technical authority, explain frameworks without acronym fog, improve partner and organic discovery, qualify opportunities and protect credibility in claims. The system can include sector pages, incident and compliance journeys, responsible AI, content governance, speaking, research, proposals, CRM and metrics connected to recurring revenue, utilization and service mix.

Telecom and unified communications sit inside business continuity, customer experience, distributed work, compliance, contact centers and a crowded channel ecosystem. UCaaS, CCaaS, SIP, SD-WAN, mobility, connectivity, managed network, carrier services and communications APIs are not interchangeable, even when the product pages share an impressive number of clouds.
I help providers, agents, master agents, technology advisors, integrators and communications companies clarify where they create value, which buyers and use cases matter, and how migration, adoption, support and economics should be explained. Growth work can connect channel relationships, executive education, sector content, search and AI visibility, demand generation, partner enablement, quote or demo conversion and expansion across a changing installed base.
Explore telecom and unified-communications growthBuilt Environment & Development
Projects move through entitlement, design, engineering, finance, procurement, construction, occupancy and operation. Each participant sees different risk and earns the next commission differently.
Architecture & Building Design Services
Architecture firms live between design ambition, client politics, public process, technical coordination, fee pressure, utilization and the practical fact that a beautiful idea must eventually survive budgets, codes, schedules and meetings. Markets such as healthcare, education, civic, hospitality, residential, industrial, workplace and adaptive reuse require different project knowledge and pursuit networks.
I help architecture firms position around useful expertise, select target sectors and clients, improve RFQ and RFP strategy, make project evidence more persuasive, develop principal thought leadership and support search, relationships and conversion. I understand the difference between winning attention and winning work the studio can deliver profitably. For practices serving private estates and luxury commissions, the approach also accounts for discretion, trusted introductions and the expectations of private clients.

Engineering firms sell disciplined problem solving across civil, structural, MEP, geotechnical, environmental, transportation, water, energy, industrial and specialty systems. Qualification-based selection, public procurement, prime and subconsultant roles, licensure, safety, technical recruitment, backlog and liability shape the market. The best proof may be invisible because it is the failure that never happened.
I help engineering leaders explain expertise to technical and nontechnical buyers, develop sector and service architecture, strengthen pursuits, build principal authority, recruit more credibly and turn complex project experience into searchable evidence. Strategy can address go or no-go discipline, client concentration, partner ecosystems, geographic expansion, cross-selling, AI-assisted knowledge access and company value without turning precision into generic “innovative solutions” wallpaper.

Commercial contractors coordinate owners, architects, engineers, subcontractors, suppliers, inspectors, lenders and occupants while protecting schedule, safety, quality, cash, change control and reputation. Negotiated work, hard bid, design-build, construction management and public projects create different pursuit and margin realities. Backlog can look healthy while the wrong project mix quietly eats the company.
I help commercial builders and general contractors define sectors, owner relationships and project fit, show preconstruction and delivery capability, strengthen case evidence, improve bid and negotiated pipelines, recruit talent and connect growth to operations. Residential builders face additional homeowner decisions around selections, allowances, lender draws, warranty and neighborhood reputation. I account for those differences when the firm works across both markets.

Commercial real estate is local, financial and relational at the same time. Brokerage, tenant representation, landlord representation, investment sales, development, capital markets, leasing, property operations and advisory work have different clients, data, cycles and conflicts. Credibility comes from market fluency, access, judgment and the ability to explain what a change in rates, occupancy, supply or use means for a specific decision.
I help firms, teams and principals build sector and geography authority, publish useful market insight, improve database and account development, support listings and pursuits, strengthen referrals and become discoverable beyond a single platform. Residential realtors, mortgage lenders, home inspectors and UHNW luxury property remain focused routes because a family choosing a home and an investment committee underwriting an asset are not one search journey.

Workforce firms sit where business demand, human lives, regulation, technology and the daily unpredictability of people all meet.
Staffing, Recruiting & Executive Search Agencies
Staffing firms run a two-sided market. They need employers with real demand and candidates whose skill, timing, expectations and eligibility fit that demand. Temporary, contract, direct hire, retained search, contingency recruiting, RPO and vertical specialties create different economics, candidate experiences and sales cycles. Speed matters, but speed without qualification simply moves disappointment earlier.
I help agencies clarify specialization, build recruiter and executive authority, attract employers and talent, improve local and vertical discovery, strengthen intake, nurture accounts and candidates, and connect marketing to fill rate, spread, placement value and retention. For retained executive search, board and C-suite mandates require especially careful discretion, research, access and proof. High-volume staffing places more weight on speed, coverage, workforce availability and consistent delivery.
Explore staffing and recruiting growthHR Consulting, PEOs & Organizational Advisory
HR consultants and PEOs help organizations navigate talent, compliance, benefits, performance, culture, leadership, employee relations and organizational change. The buyer may be a founder without HR leadership, a CHRO with a transformation mandate or a company crossing the complexity threshold where informal people practices become expensive.
I help firms distinguish advice, outsourcing, co-employment, implementation and technology, then build authority around the business moments that create demand. That includes executive thought leadership, CEO company-building support, referral ecosystems, content, search and AI visibility, assessment or consultation conversion, proposals, lifecycle communication and responsible AI. When payroll or HCM technology is central to the offer, I also examine system selection, data migration, implementation, adoption and recurring platform economics.

Payroll and HCM providers handle systems employees notice immediately when something fails. Payroll, time, attendance, scheduling, HRIS, benefits administration, workforce management, analytics and compliance workflows touch finance, HR, operations and individual livelihoods. Sales may be won on features and lost during implementation, data migration, support or the first difficult payroll cycle.
I help providers position by customer, workforce complexity and outcome, explain integrations and implementation, improve partner and organic discovery, support demos and sales, strengthen customer education and connect acquisition to adoption, retention and expansion. The work can include category strategy, executive authority, use cases, comparison content, CRM, account-based growth, AI workflow, client experience and metrics that follow the relationship past the signed contract.

Investment Banking, Valuation & M&A Advisory
Investment banks and M&A advisors need credibility with owners, buyers, lenders, sponsors, attorneys, accountants and other intermediaries. Sell-side, buy-side, capital raising, valuation, fairness, restructuring and strategic advisory each create distinct proof and regulatory boundaries. The work is episodic, confidential and heavily influenced by access, process quality and the ability to keep many parties moving when the story changes.
I help firms define industry and transaction positions, develop banker authority, communicate process and readiness, improve referral networks, strengthen search and AI discovery, support pitch and proposal systems and stay useful between live mandates. The message should reflect whether the firm advises owners preparing for a sale, leads transactions, values businesses or supports investors. Those clients arrive with different questions, levels of readiness and expectations.

Private-capital organizations have several audiences at once: limited partners, founders, intermediaries, operating executives, portfolio companies, co-investors and future talent. Thesis, team, sourcing, diligence, platform support, portfolio value creation, reporting and reputation all affect who takes the meeting. A fund brand also has to travel from management company to portfolio company and back again.
I help private equity firms, venture funds, angel investors, angel networks and broader investment companies build authority and commercial systems appropriate to their role. I am often hired by angel investors and funds as a fractional or portfolio CMO to assess a company, sharpen positioning, build demand, support executive leadership or help determine what should happen before more capital is spent. The work adapts to the capital model: an individual angel, a venture partnership and a buyout fund do not share one decision rhythm.

Business brokers and exit advisors work with owners whose companies may be their largest asset, identity and legacy. Seller readiness, valuation expectations, confidentiality, buyer quality, financing, diligence, taxes, transition and emotional timing influence the engagement. Buyers and sellers need different education, while professional referral partners need confidence that an introduction will be handled well.
I help brokerage and advisory firms position by business, market and transaction, build owner education, strengthen attorney, CPA, banker and wealth-advisor relationships, improve confidential intake, nurture long timelines and develop a useful authority system. The company should remain visible before an owner is ready, because the first serious exit conversation often begins years before the listing agreement.

Marketing, Advertising & Public Relations Agencies
Full-service agencies, agencies of record, digital firms, ad shops, PR consultancies, growth agencies, web and app developers, Hispanic and multicultural agencies, youth specialists and social-media firms solve different client problems. Their revenue mixes, proof, retainers, projects, media relationships, talent models and new-business systems should look different too.
I help agencies clarify the work they want, improve specialization, protect trust, develop founder and executive authority, design a repeatable new-business process, strengthen referrals, improve proposals and address utilization, scope, margin, client concentration and AI. I can advise the owner as a fellow operator, work as a fractional CMO and execute the actual growth system. I understand how absurdly easy it is to explain attribution to a client and then discover your own leads still live in the founder's phone.

Design firms sell the ability to understand a need, create a useful response and guide that response through people, systems, constraints and production. Graphic identity, UX and UI, customer experience, service design, digital products, industrial products and commercial interiors involve different research, deliverables, rights, stakeholders and proof. Freelancers with phenomenal design chops often need help with pricing, scope, proposals, sales and the business side they did not enter design school to love.
I help design businesses connect portfolio work to client decisions, distinguish craft from business outcome, build authority, improve new business, clarify rights and scope, navigate AI and create a company that protects the work instead of exhausting the people making it. I work across graphic and brand studios, UX/UI and digital product firms, industrial product consultancies, and commercial interior-design practices. Each discipline needs proof that connects its craft to the client's actual decision.

I help franchisors and franchise advisors clarify the model, market and ideal operator, strengthen development communication, build founder authority, improve discovery and qualification, support franchisee marketing and connect expansion to unit economics and system capacity. Legal, financial and disclosure work stays with appropriately qualified professionals. My role is to help leadership make the company, value proposition and growth system coherent enough to deserve responsible expansion.

Management & Business Consulting
Consulting firms sell thinking, access, facilitation, implementation or some careful combination. Strategy, operations, technology, change, finance, organization, innovation and specialty advisory firms need positions that survive beyond one founder's biography. Intellectual property, utilization, leverage, pricing, proposals, delivery quality, knowledge capture and talent determine whether growth produces a firm or a busier expert.
I help consultancies sharpen specialization, turn methods into useful authority, build executive thought leadership, improve demand and proposals, develop recurring or productized value where appropriate, and connect AI to responsible knowledge work. For consulting firms, the commercial challenge is earning trust in the advice and implementation they sell. I also advise operating-company leaders directly when their own strategy, organization or growth decisions need attention.

I help firms clarify roles and niches, build executive and technical authority, explain complex risk, strengthen distribution and referral relationships, improve producer and digital growth, support retention and use AI responsibly. Life insurance, personal lines and commercial risk require different conversations about protection, underwriting, distribution and service. Fire-protection contractors bring another role to that ecosystem. One involves transferring risk; the other would prefer the sprinkler head to work.

A strong position tells the right buyer when the firm's experience changes the quality of the decision. It is specific enough to guide pursuit, content, hiring and delivery, not simply decorate a homepage.
Professional firms often resist focus because they can competently serve several markets. Competence is not the question. The question is which market can recognize the firm's distinctive value quickly enough to create demand, command appropriate fees and refer the next client. A firm can still accept adjacent work while leading with a sharper idea.
I look at client patterns, project or matter economics, win rates, referrals, partner strengths, market change, search behavior, competitive claims and delivery capacity. The position may center on an industry, problem, client stage, service model, geography, complexity or point of view. It should also create a useful “no,” because strategy that excludes nothing is usually a list wearing a blazer.
A position should answer
- Which people or organizations face the problem?
- Which trigger makes the problem important now?
- What does the firm understand that a generalist may miss?
- What evidence supports that claim without breaching confidentiality?
- Which work should the position attract more often?
- Can the firm deliver the promise profitably and repeatedly?
- Does the idea give leaders something worth teaching and defending?
The people behind the firm are often researched before the firm receives the call.
A buyer may read the CEO's interview, examine a partner's publications, watch a talk, search a credential, ask an AI system for recognized specialists and quietly review the entire leadership team before anyone fills out a form.
Build a point of view
Authority starts with an argument worth remembering. I help leaders identify what they know from repeated exposure to clients, markets, mistakes and change, then turn that pattern into a clear thesis rather than another summary of common knowledge.
Choose the right forms
Articles, field notes, research, talks, panels, books, podcasts, commentary, case stories and practical tools serve different purposes. The mix should fit the executive's strengths, the buyer's habits and the firm's ability to sustain quality.
Connect authority to the company
Personal visibility should strengthen practices, people, intellectual property and relationships across the firm. Otherwise the organization may simply make one already-busy leader harder to replace.
Protect credibility
Professional authority requires sources, nuance, current review and disciplined claims. Credentials should be explained accurately, experience should not become an implied guarantee and confidentiality should survive the desire for a lively case study.
Make expertise retrievable
Useful ideas need stable pages, descriptive headings, clear authorship, entity relationships and contextual links. That helps people, search engines and AI systems connect an expert to the right question without guessing from a social post fragment.
Turn visibility into conversation
Every idea does not need a hard sell. It does need a credible path to the firm, the relevant service and an appropriate next step. Authority should make the introduction warmer and the first conversation smarter.
My own work includes consulting, writing, publishing and speaking. You can review my credentials and experience, learn more about how I think and work, or explore the ideas I publish in Field Notes.
Discovery now happens across results pages, maps, AI systems, directories, platforms and private recommendations.
Your firm needs useful, connected knowledge that demonstrates real experience and answers the questions buyers ask. Clear authorship, accurate service descriptions, credible evidence and accessible technology help people and discovery systems understand when your expertise is relevant.
Google states that the same core technical requirements and helpful-content principles apply to its AI search features. I therefore build for durable clarity rather than a fictional secret “AI ranking” switch. Learn more about my approach to AI search, answer engines and organic growth, local SEO and Google Business Profile strategy.
Referrals, search, relationships and paid reach should make one another stronger.
Professional-services growth rarely belongs to a single channel. A buyer may hear a name from a CPA, see a principal speak, search the firm, ask an AI assistant for options, read three pages, consult a colleague and return weeks later through a branded query.
Referral ecosystems
I map clients, alumni, attorneys, accountants, bankers, investors, insurers, associations, vendors, consultants and other professionals who influence demand. The system should make reciprocal value visible and keep relationships warm without converting human trust into an automated drip campaign with a birthday token.
Organic authority
Sector pages, specialist resources, executive thinking, market insight and useful answers help the firm become discoverable when a buyer is researching privately. This content also gives referral partners something better to send than “they are good people, I think.”
Targeted outreach
Account, role, industry, event and trigger-based outreach can create relevant conversations when the message demonstrates context. Volume-first prospecting can damage a professional brand faster than it fills a pipeline.
Speaking and associations
Industry events, peer groups, panels, webinars and professional associations let expertise travel through trusted communities. I help select topics, develop talks, support promotion and turn one appearance into lasting authority without making the event feel like a disguised sales ambush.
Paid media
Paid search, social, account targeting, sponsorship and retargeting can accelerate a clear position or quickly reveal that it is not clear. I connect media to fit, economics, landing experience, follow-up and capacity rather than optimizing a click in isolation. See my PPC consulting.
Account expansion
Existing clients often know only the practice they first hired. Client education, business reviews, relationship mapping, service evidence and thoughtful introductions can grow accounts when the next service solves a real problem, not merely because a cross-sell target exists in a spreadsheet.
Conversion should increase confidence and protect professional time.
A high-converting page is not necessarily the one that creates the most inquiries. It is the one that helps the right person recognize fit, understand the next step and arrive ready for a useful conversation.
| Stage | Buyer question | What the firm should provide | What I improve |
|---|---|---|---|
| Recognition | Does this firm understand my situation? | Language, examples and context that match the problem without overstating certainty. | Positioning, sector pages, problem framing, search intent and first-screen clarity. |
| Validation | Can I trust the people and their judgment? | Credentials, authorship, relevant experience, methods, references, reputation and useful thinking. | Executive profiles, thought leadership, case evidence, review strategy and entity signals. |
| Fit | Is my matter, project, company or goal appropriate? | Ideal-client guidance, scope boundaries, service architecture and honest qualification. | Calls to action, forms, routing, consultation framing and qualification logic. |
| Approval | Can the organization engage this firm? | Proposal, team, timing, fees, security, insurance, references, implementation and contracting clarity. | Proposal systems, RFP strategy, follow-up, stakeholder content and procurement support. |
| Continuity | Will the experience match the promise? | Onboarding, communication, governance, milestones, escalation and client education. | Handoffs, lifecycle communication, service standards, feedback and account growth. |
For some firms, the first correction is as simple as replacing a generic contact button with a next step that explains who will respond and what happens. For others, it means rebuilding intake, CRM, consultation, proposal and follow-up as one system. The appropriate level of work depends on deal value, urgency, buyer complexity and the cost of a poor fit.
Revenue can rise while the firm gets weaker.
Professional-services marketing becomes dangerous when it ignores capacity, fee structure, realization, client concentration, delivery burden and the kind of work leadership actually wants the company to become known for.
Utilization and capacity
More demand is useful only when the right people can deliver it. I help connect campaigns and sector priorities to available senior attention, recruiting, leverage, subcontractor capacity, project timing and the work already in backlog.
Pricing and realization
Hourly, fixed-fee, subscription, contingency, commission, project and recurring models create different risks. Positioning, scope, proof, change control and client preparation all influence whether the firm captures the value it creates.
Client and channel concentration
One client, referral source, rainmaker, platform or market can quietly own the firm's future. I help leadership understand concentration, protect important relationships and build additional paths before urgency removes good choices.
Acquisition cost and sales cycle
A qualified opportunity may require months of authority, networking, pursuit and follow-up. Measurement should account for assisted journeys, executive time, proposal effort, rejected work and the difference between sourced and merely recorded leads.
Service mix and recurring value
Projects may open relationships while recurring services improve continuity and company value. The right mix depends on client need, delivery model, talent, risk and whether recurring work stays valuable after the first burst of attention.
Reputation and delivery debt
Overpromising can create revenue today and a reputation problem next quarter. Marketing, sales and delivery need one definition of the promise, one view of fit and a way to surface problems before the client writes the case study nobody wanted.
I do not want to help a firm win more of the work it secretly hopes will stop calling.
Client experience begins before the first call and continues after the deliverable.
The market experiences the firm through search results, referrals, scheduling, reception, forms, proposals, onboarding, meetings, documents, invoices, portals, updates, problem resolution and follow-through. Every one of those moments either supports or contradicts the position.
I map the experience from trigger to renewal, referral or next engagement. That includes response standards, expectation setting, contact preferences, accessibility, roles, milestones, education, feedback, escalation and the transition from business development to the delivery team. The goal is not to script every human interaction. It is to remove preventable uncertainty so professionals can use judgment where judgment is actually needed.
For firms serving individuals and families, emotional context and life events need particular care. For business and institutional firms, multiple stakeholders need different levels of detail and a shared view of decisions. In both settings, silence is information. If the client does not know what is happening, the client invents an answer, and invented answers are rarely generous.
Experience questions worth asking
- Can a prospect tell whether the firm is the right fit before contacting it?
- Does the first response match the speed and confidence promised by the website?
- Are fees, roles, timing and client responsibilities understandable?
- Do handoffs preserve context, dignity and momentum?
- Can clients see progress before the final outcome exists?
- Does the firm learn systematically from lost work, scope friction and client feedback?
- Is there a natural path to the next useful service, introduction or referral?
AI should increase useful capacity without borrowing trust from the future.
Professional firms have extraordinary AI opportunities because so much work involves research, knowledge, drafting, classification, comparison, coordination and communication. They also have extraordinary reasons to care about confidentiality, accuracy, provenance, privilege, bias, intellectual property and professional accountability.
Start with the work
I map repetitive and judgment-intensive tasks, information flows, delays, rework and client friction. A use case should have a real owner, a defined user and a measurable improvement before anyone buys a fleet of licenses.
Separate assistance from authority
AI can retrieve, summarize, draft, compare and prepare. Qualified professionals remain responsible for conclusions, advice, approvals and communication. The review level should rise with consequence, novelty and uncertainty.
Control the information
Teams need approved tools, permissions, retention rules, source boundaries and clear treatment of client, employee, deal and proprietary information. “It was convenient” is a thin governance policy.
Preserve provenance
Useful work should retain links to authoritative sources, versions, assumptions and human decisions. That makes review faster and reduces the risk that a confident sentence outruns the evidence beneath it.
Protect the voice
AI can help subject-matter experts organize and extend their thinking, but public content still needs a recognizable human argument, firsthand context and editorial responsibility. Average language is plentiful. Judgment remains scarce.
Measure the full outcome
Time saved matters alongside error, rework, adoption, client impact, risk and whether the recovered capacity goes somewhere valuable. Faster production of work nobody needs is not transformation.
The NIST AI Risk Management Framework organizes trustworthy AI work around governance, mapping, measurement and management. I use that spirit as practical decision support, then adapt controls to the firm's professional obligations, clients, systems and tolerance for risk.
I help CEOs build great companies, not just louder ones.
The marketing system eventually exposes the company. It reveals whether leadership knows which clients matter, whether the promise matches delivery, whether the team can explain the strategy and whether growth creates an asset beyond the founder's personal effort.
From rainmaker to institution
I help leaders turn personal relationships and tacit knowledge into positioning, methods, account systems, content, decision rules and leadership visibility that other capable people can use. The founder does not disappear. The company becomes less dependent on the founder being present in every room.
From services to intellectual property
Frameworks, diagnostics, processes, data, tools, benchmarks and recurring knowledge can make delivery more consistent and authority more durable. Productization should improve the client answer, not force every complex problem into the same laminated worksheet.
From activity to operating cadence
I help teams translate strategy into priorities, owners, decisions, milestones, metrics and review. Marketing should know what sales is learning, delivery should know what marketing is promising and leadership should know where the system is stuck.
From revenue to company value
Durable demand, strong client relationships, capable leadership, differentiated knowledge, recurring value, reliable data, healthy economics and reduced concentration can make a professional firm more resilient and more valuable. The exact levers vary by business, but the principle does not.
This is where my work as a marketing consultant, management advisor and fractional CMO overlaps. Sometimes the answer is a page. Sometimes it is a market decision, leadership role, service model, operating system or very useful decision to stop doing something. If you want direct company-level help, see my management consulting and fractional CMO work.
I understand local markets without pretending expertise stops at a county line.
Paper Boat Media is based in DeLand, Florida. I work with organizations across Central Florida, the United States and international markets through remote, on-site, project, retained and fractional engagements.
Professional-services markets are shaped by local relationships, industries, institutions, population, capital, regulation, talent and culture. A law firm in Daytona Beach, a technology company in Lake Mary, an investment organization in Manhattan, a hospitality advisor in Dubai and a healthcare business in Nashville may share a growth discipline but not a market story. I build location relevance where real experience, relationships and service support it, then keep the language open to qualified organizations elsewhere.
See the full markets and locations section, or contact me from another market. The list reflects places where I have experience, clients or relationships. It is not a velvet rope.
Visibility is useful. Qualified, profitable and well-delivered work is better.
Professional-services reporting should connect market attention to business outcomes while respecting long sales cycles, multiple touches, offline relationships, confidentiality and the limits of attribution.
I use analytics as evidence, not theater. Search Console can show which queries and pages earn visibility. Analytics can show meaningful behavior. CRM and financial systems can show which opportunities became work worth winning. Interviews and call review can reveal why the numbers moved. For direct help, explore marketing analytics and reporting consulting.
Start with the business question, then build only what earns a job.
Useful advice should know where the guardrails and evidence live.
These references support the professional-services, search, AI, reputation and accessibility principles behind my work. Specific legal, technical and professional obligations also need the sources and qualified judgment appropriate to the firm's discipline.

Questions professional-services leaders ask before hiring me.
What does a professional services marketing consultant do?
A professional services marketing consultant helps an expert-led firm clarify its markets, position its expertise, build authority, become discoverable, generate and qualify demand, improve conversion and connect growth to delivery and economics. My work can include strategy, research, content, SEO, AI visibility, thought leadership, referrals, paid media, CRM, proposals, analytics and company building.
Do I need to know exactly what service or tactic I need?
No. You can bring me a business goal, a stalled decision, an uncomfortable pattern or a problem that has not yet earned a tidy name. I can help examine what is happening, identify the constraint and decide whether the useful answer is positioning, leadership, search, AI, content, conversion, systems, research or something else.
Do you work as a consultant, advisor or fractional CMO?
All three structures are possible. I can advise a CEO or leadership team, lead a defined project, work on retainer or serve as a fractional CMO embedded across strategy, people, agencies, systems, budget and execution. The format should match the problem, decision speed and internal capability.
Will I work directly with Dr. Robert Urban?
Yes. Clients hire me for direct senior involvement. I advise leadership and can personally research, write, analyze, design the strategy, build the system and guide implementation. When additional specialists are useful, I help define and coordinate that work without adding layers merely to make the organization look larger.
How does your approach change between professional sectors?
I start with who buys the firm's expertise, what triggers the decision and how the buyer evaluates trust. A law firm may need careful intake and practice-specific proof; an engineering firm may need stronger qualifications and pursuit strategy; a staffing agency may need better employer relationships and candidate flow. The strategy follows those realities, including professional obligations, economics and delivery capacity.
Can you help a firm with several practices or service lines?
Yes. I help leadership clarify the value of each practice, identify shared clients and referral opportunities, and explain how the services work together. That includes positioning, website navigation, evidence, cross-selling and consultation paths. Buyers should be able to recognize the right expertise quickly without having to understand the firm's internal organization chart first.
Can you help a firm that depends heavily on referrals?
Yes. I usually strengthen the referral system rather than treating it as old-fashioned. That can include relationship mapping, professional partners, alumni, client education, executive visibility, content worth sharing, database discipline and account development, then adding organic, AI, event, outreach or paid discovery where it supports trust.
Can you help with SEO, AI search, answer engines and voice discovery?
Yes. I build clear information architecture, intent ownership, authoritative content, contextual links, entity relationships, structured data, local relevance and technically accessible pages. The aim is to make expertise understandable and retrievable across traditional search, AI answers, voice questions and human research without chasing a fictional secret algorithm.
Can you help a CEO or partners with thought leadership?
Yes. I help leaders find a useful point of view, develop articles, research, talks, books, commentary and practical frameworks, and connect that authority to the firm's markets and services. The work should sound like the person, protect professional credibility and create a smarter first conversation rather than imitate a generic personal brand.
Do you help with proposals, RFPs, intake and conversion?
Yes. I can improve qualification, response, calls to action, forms, consultations, proposals, RFP decisions, stakeholder communication, follow-up, nurturing and CRM use. Conversion is measured by the right conversations and signed work, not by encouraging every visitor to become an inquiry regardless of fit.
Can you help a firm use AI responsibly?
Yes. I help identify useful workflows, approved tools, information boundaries, permissions, source requirements, human review and outcome measures. Professional responsibility remains with qualified people. AI can assist research, drafting, knowledge access, intake, proposals, content operations and reporting when the system respects confidentiality, accuracy and accountability.
Do you work with regulated or confidential professional firms?
Yes. I work with the firm's legal, compliance and professional leadership to respect applicable advertising rules, privacy, privilege, licensing, disclosures and claim boundaries. My role is marketing, growth and business strategy. Legal, tax, investment, engineering and other regulated judgments remain with appropriately qualified professionals.
Do you help professional firms beyond marketing?
Yes. Growth often exposes decisions about service mix, client concentration, capacity, intellectual property, leadership, client experience, knowledge, talent and company value. I advise CEOs and owners on those connected business questions when solving the marketing symptom requires strengthening the company beneath it.
How do you measure professional services growth?
I connect discoverability and engagement to qualified opportunities, proposals, win rate, sales cycle, signed value, margin, capacity, client concentration, retention, expansion and referrals. The exact dashboard depends on the business model, but reporting should help leadership make decisions rather than display activity without consequence.
Do you work with firms in Florida and elsewhere?
Yes. Paper Boat Media is based in DeLand, Florida, and I work across Central Florida, the United States and international markets. Markets I serve include DeLand, Daytona Beach, Lake Mary, Orlando, Miami, Sarasota, Ponte Vedra Beach, Ocala, Nashville, Charleston, Denver, Los Angeles, Manhattan, Washington, DC, Dubai and Abu Dhabi. I also work with qualified firms elsewhere.
Do you work remotely or on site?
Both. Research, strategy, writing, analytics, leadership meetings and implementation can often be handled remotely. On-site work can be useful for leadership sessions, interviews, client experience, operations, events and complex team decisions. The format is chosen for the work rather than as a test of how many airports everyone can visit.
Is this the same as your UHNW and luxury consulting?
The work can overlap when a professional firm serves private-wealth or luxury clients. Those relationships often require additional discretion, trusted access, tailored service and coordination with family or estate advisors. I account for that context when it applies; the growth strategy should always reflect the clients the firm actually serves.
What is the best first step?
Start with the problem, goal or decision. Tell me what the firm is trying to change, what has already been tried and what makes the situation important now. I will help determine whether there is a useful fit and what the smallest sensible next step should be.
Bring the problem. I will help find the next step.
Maybe growth has stalled or the wrong opportunities keep arriving. Perhaps the CEO has a point of view nobody can find, the website no longer reflects the company, or AI has created six experiments and no policy. Bring the concern, even if the right question is not clear yet.
Tell me what you are trying to change. I will bring questions, pattern recognition, industry fluency and a willingness to do the work once the objective and next step are clear.
